Considering an Event at Sea and have questions?

The first question is not, “Why would you hold a meeting or incentive program at sea—it’s, Why wouldn’t you?"

After selling my cruise company in 2019, I am now an independent cruise consultant who has sourced cruise meetings, incentives, and association groups since 1976. I have decided to share what I have learned without obligation, cost, or feeling the pressure to book an event.

I have been helping clients for years and have worked with Fortune 500 companies, as well as small start-up companies and associations, with cruise programs ranging in size from 8 cabins to full ship charters. I have also been the primary cruise resource for third-party companies and their independent planners, such as Prestige Resorts, Conference Direct, and Helms Briscoe, who outsourced 100% of their cruise requests to me for 20 years. I was one of the original 12 at the table when HB was founded. The following information generally applies to all cruise lines and ships, no matter where registered, where based, or where the ship operates. This is true whether Standard, Premium, or luxury brands. This is true of Sea Dream Yacht ships that accommodate 112 passengers and ships like Royal Caribbean’s Icon of the Seas with a capacity of 7,600 passengers. Cruise programs are not simply “an event on a floating hotel.” The two venues are so extremely different that it is simply impossible to source a cruise with the limited information needed to source a hotel. The first question to ask is, “, “What do I need to know to determine if a cruise is even an option for my group?” Before completing an RFP, event planners considering a cruise option are strongly encouraged to review the FAQ’s page. Doing so will ensure that the specific needs for an event at sea are fully understood, enabling us or another source to focus on options or recommendations relevant to your specific event's needs.

Hotel/Resort vs. Cruise Cost Analysis

Not only are all-inclusive cruises much less expensive than a comparable hotel/resort, but they are also easier to organize in a group setting.   

Cruising has two main advantages over resorts. The first is the obvious one -- cruise ships move. That means on one weeklong vacation, you can visit multiple destinations without figuring out transportation logistics or packing your bags multiple times. It also means that ships can seek out the best weather conditions. Cruise during hurricane season, and your ship will alter its route to get out of a storm's path; book a resort stay, and you've got nowhere to go if a hurricane is bearing down on your island.

The other is that modern-day cruise ships are packed with onboard activities. Todays ships sport rope courses, water parks, mini-golf, movie screens and rock climbing walls and crazy attractions like ziplines, bumper cars, surfing and skydiving simulators and more. Daily schedules are filled with wine tastings, dance classes, educational programming, trivia games and other activities. Evenings bring Vegas-style shows, Broadway musicals, comedy, magic acts and a variety of live music and dancing. Getting bored on a cruise is essentially impossible and the event planner will find they have total control in a cruise setting because everything they could possibly need is all in one place, including meeting and group accommodations.
